1. Controller and contact

Popoff Translation & Interpretation (“Popoff”), based in Brasília, Brazil, is responsible for decisions about the personal information covered by this policy. Privacy questions or requests may be sent to info@popofftranslation.com.

2. Information we collect

When you request a quotation, we may receive the service type, name, email address, organization, city or venue, languages, date or deadline, and project information entered in the form. We also process information supplied in later communications by email, telephone or WhatsApp.

We do not request sensitive personal information in the initial form. Please avoid including sensitive personal information or confidential material that is not necessary for us to assess the enquiry.

3. How and why we use the information

We use the information to respond to the enquiry, clarify requirements, prepare and follow up quotations, plan or provide contracted services, maintain administrative records, protect the website, and comply with legal or regulatory obligations. Applicable legal bases may include steps taken before entering into a contract, performance of a contract, legitimate interests, compliance with legal or regulatory obligations and, where required, consent.

Contact-form information is not used for marketing lists, sold, or disclosed for behavioural advertising.

4. Service providers and sharing

The website is hosted by Netlify, which processes form submissions. Messages are delivered and managed through Google Workspace. We may also share information with professionals or suppliers involved in a quotation or assignment, professional advisers, or where required by law, always limited to what is necessary.

These providers may process information outside Brazil. In those cases, we seek to use established providers and safeguards consistent with applicable law for the transfer and protection of information.

5. Retention

Enquiries that do not result in an assignment are retained for no more than one year after the last contact and are then deleted or anonymized, unless continued retention is required for legal or regulatory reasons. Where services are contracted, records are kept for as long as necessary to provide the service, comply with legal, accounting or regulatory obligations, and establish or defend legal claims.

6. Security

We use reasonable technical and organizational measures to protect information against unauthorized access, alteration, disclosure or destruction. No internet-connected system, however, can provide absolute security.

7. Your rights

Under Brazil’s LGPD and other applicable rules, you may request confirmation of processing, access, correction, anonymization, blocking or deletion, portability where applicable, information about sharing, review of or objection to certain processing, and withdrawal of consent where consent is the basis used. Some rights may be subject to legal exceptions.

To exercise a right, email info@popofftranslation.com. We may request reasonable information to confirm the requester’s identity. You may also lodge a petition with Brazil’s National Data Protection Authority (ANPD).

8. Cookies and technical logs

This website does not use advertising cookies or behavioural analytics tools. Hosting and security infrastructure may generate essential technical logs, such as IP address, request time and browser information, to provide and protect the service.

9. Changes to this policy

This policy may be updated when the website, services or legal requirements change. The date of the latest version will be shown at the beginning of this page.
